Unless you have an abundant flow of clients, a Translation Gap exists in your business.
The Translation Gap is the space between how you describe what you do and how your ideal client actually talks about the problem she's living inside. You say, "brand messaging strategy." Your prospect says, "I don't know why nobody gets what I'm actually trying to sell."
That gap is expensive. It's the reason great offers sit on sales pages nobody buys from. It's the reason your DMs are full of "this is exactly what I needed" yet, no one is buying.
Here's where most coaches and consultants go wrong trying to close it: they ask.
They send the survey. They run the "What's your biggest struggle?" poll. They ask on a discovery call, "So, what are you hoping to get out of this?"
And they get back...nothing usable. Polished, rehearsed, Pinterest-caption answers. Because the second you ask someone to describe their problem out loud, to a stranger, in a context where they know you're a service provider, they stop giving you their real words and start giving you their performed words. The ones that sound smart. The ones they think you want to hear.
If you want the real language β the language that sells β you don't ask. You observe.
Why Asking Fails and Observing Works
Voice-of-customer research isn't a survey exercise. It's an anthropology exercise. The words that convert are the words people use when they have no audience, no stakes, and no reason to perform. That means the best data doesn't come from questions you ask directly. It comes from watching what people say when they think no one's listening for it.
Here are three strategies for doing exactly that. None of them involve a form.
1. Mine the Exit Language
Everyone tells you to read the five-star reviews and the "yes, sign me up" comments. Flip it. Go read what people say on their way out the door.
Abandoned cart follow-ups and the replies you get from them
Cancellation and refund request messages
The DM conversation that went quiet right before "let me think about it"
Comments left on a competitor's post that never converted to a sale
People are far more honest when they're leaving than when they're arriving. The language of disappointment, confusion, and "this wasn't what I thought it was" tells you exactly where the gap sits because it's the gap that made them leave. That raw, unfiltered frustration is gold for your Client Words Bank in a way a five-star testimonial never will be.
2. Eavesdrop in Rooms That Aren't Built For You
Most people do their voice-of-customer research in their own Facebook group or their own comment section, places where people already know who you are and are, again, half-performing. Go somewhere your ideal client doesn't know you exist. Somewhere she's venting to people who aren't selling her anything:
Reddit threads in adjacent [not identical]) niches
Amazon or app store reviews for products that solve a related problem, not yours
Customer service transcripts or public complaint threads about your competitors
Comment sections on articles or videos she'd watch, not ones you'd write
The language in these spaces is unpolished, unprompted, and untranslated. Nobody's trying to sound like a founder. They're just trying to be understood. That's the exact register you want to be writing your sales pages in.
3. Watch the Pause, Not the Point
This one's for your discovery calls, DMs, and workshop Q&As; the live, real-time conversations you're already having. Most people listen for the answer. Listen for the stumble instead.
Watch for the moment someone says, "I don't know how to explain this, but..." or trails off, restarts a sentence, or laughs nervously before trying again. That hesitation is not noise to edit out of your notes. It's a flag planted directly on top of the Translation Gap. The smooth, confident sentence that comes before the pause is usually borrowed language something she read or heard elsewhere. The fumbling, self-correcting sentence that comes after the pause is hers. It's unrehearsed, which means it's real, which means it's what you should be putting on your homepage.
Start keeping a running note not of what people say when they're being articulate, but of what they say when they're struggling.
The Bigger Shift
Closing the Translation Gap requires listening and observing. Every hour you spend crafting the perfect survey question is an hour you're not spending in the places where your client's real words already exist, unprompted and unfiltered, just waiting for you to notice them. Go find where your market already describing their struggle to someone else.
